Manufacturing and Distribution Systems

System V Manufacturing and Distribution is fully integrated with all other system modules and is designed to manage every aspect of manufacturing and distribution operations. The system features a fully integrated combination of:

Accounts Payable: Allows for full control of company liabilities with invoicing, disbursements (manual and computer generated checks are supported), adjustments, recurring entries. Reports include aging, transaction detail, processed invoices, and purchase history.

Accounts Receivable: Allows complete control of company accounts receivable with invoicing, cash receipts and adjustments. Transaction history is maintained for customers with the ability to print statements, credit reports, sales history, aging, and transaction reports.

Bill of Materials: Allows for unlimited number of items on a bill. Items include Inventory, Labor, Setup and Comments. If static, work center and operation codes can be assigned for job costing. Bill of Materials with Cost, Reset Inventory Costs, and Bill of Materials Availability reports are available if needed.

Commission Accounting: Provides the ability to trace commissions and sales by salesman. This module is directly updated from order entry, and can create records in either accounts payable or payroll for commission payment.

Fixed Assets: Allows for full asset tracking, depreciation, tax investment tracking and amortization calculations. Full reporting capabilities are supported.

General Ledger: This module is automatically updated from each of the others and allows for full flexible financial reporting with trial balance, general ledger report, account history, budgeting, and user-defined financial statements.

Generalized Subsidiary: This module allows for the general ledger account to be extended to unlimited sub codes to enable tracking of projects, contracts or other areas that require an extension of the account structure.

Inventory Control: This module holds product master records, products by warehouse for quantities and costs, products by vendor for UPC codes, purchase prices, and purchase history. It also has serial number and lot control, production related details by product, sales and reorder reporting are also provided.

Job Costing: Tracks cost by job, work center, operation. This module is automatically updated by the production system and payroll.

Material Requirements Planning: The shop calendar is easily generated automatically for any year desired. The calendar is used by production scheduling to determine completion dates, etc.. The MRP Process analyzes sales orders, inventory stock, purchase orders, existing work-in-progress (batches), and requisitions to determine production requirements.

Order Entry: This module allows for multiple versions of the sales order entry to accommodate various needs from point of sale to distribution type entry. Customer sales are tracked to inform the operator if this product was previously sold to a customer, and if so, at what price and quantity. Orders are directly tied to Accounts Receivable, Sales History, Commission Accounting, Inventory, and General Ledger.

Payroll: Payroll allows for the entry of earnings with a variety of requirements. Multiple states, unions, departments, divisions are all handled. Accruals, tax deferred earnings, cafeteria plans, state & federal deductions, insurance, direct deposit, savings are a few of the features supported. A complete check history is provided for historical and reporting purposes. Earnings also relate to job costing.

Production Scheduling: This module schedules by primary machine (any work center) based upon capacity and load. Batches can be automatically created from sales orders and scheduled for production based upon backlog. The production schedule can be easily modified, added to or removed by the scheduler. It handles virtually any type of manufacturer (foundries, job shops, short-schedule, long-schedule, etc.). It produces work orders, tooling reports, scrap reports, waste and remnant inventory tracking.

Purchase Orders: The purchase order module supports blanket orders, receiving, invoicing, and order status features. Direct ties to accounts payable, inventory and general ledger are built in.

Sales History: This module automatically tracks sales by salesperson, customer and product. Salesperson productivity, customer and product activity, and several analysis reports and inquiries are supported.

Information flows automatically from one section to another. For example, the entry of a sales order creates a demand for a product. If the product is manufactured, Material Requirements uses the bill of materials to determine its raw materials. A Production Batch can be automatically created to schedule and track the production of the item. Production Scheduling determines machine loading based upon capacity and adjusts schedules based upon the machine’s lead time. The lead time is determined based upon load and capacities. As the item passes through the production stages, check points are flagged to notify the Sales Department of the progress of the order (batch). Lot or serial number control is maintained throughout the batches, if desired. When the product is completed, Job Costing and Production History are also updated. The current cost of the product in inventory is adjusted based upon actual production costs and the costing method selected. When the order is shipped, truck routes and load capacities can be assigned based upon zones. The Sales Order Invoice updates Sales Analysis and Commission Accounting, if they are included. General Ledger is updated at each step of the process, from work in process to finished goods inventory.

The heart of the system is the Workorder Batch. A batch is a production record for a single product. Any quantity of a product can be produced in a batch. By scheduling multiple batches, the system easily handles standing orders for a set or varied quantity over any extended time period. The batch is used for all material requirements, scheduling requirements, capacity loading, and work in process.
